Get started with Client Evidence
Add your products. ScaleSafe finds their buyers, keeps available customer records and prepares a response when a dispute arrives.
Open your workspace
Open ScaleSafe Client Evidence from the business account where you sell. An administrator completes the connection. If you see Waiting for beta access, contact support@scalesafe.app with your agency name, business-account name and its CRM address. After activation, select Check access. Each business account requires its own approval.
1. Add a product
Open Products, select the add-product button and choose from your CRM product list. Answer the optional questions about payments, agreements, delivery and customer communications. You can leave an answer blank and finish later. Save with Add product or Finish setup.
Saving a new product starts its collection automatically. ScaleSafe searches available real purchases from the preceding 365 days and continues checking for new sales. Buyers of that product enter Customers automatically. Test payments are excluded. The one-year search window does not delete saved records. A recorded manual payment is identified as such; it does not prove a card was charged.
Open a saved product to edit its description, review collection progress or remove it from tracking. Removal stops new buyer discovery for that product and retains saved customer records. Archive a customer if you also want to stop that customer's ongoing record collection.
2. Tell us what to look for
ScaleSafe already collects supported records for tracked customers. Use Add a source (optional) to select the forms, calendars or agreements you use, and describe milestones or check-ins. These choices help ScaleSafe understand your process and check for expected records.
Your answers describe the usual experience; the customer's actual records establish what happened. Selecting a form does not mean the customer completed it. ScaleSafe does not create or publish customer-outreach workflows. Keep customer communications in your CRM, or connect your communication service to it, so supported messages can be collected.
3. Connect other record sources
Record sources shows the available connections and collection health. Connect your own Stripe account for payment and dispute notices, and Zoom if you use it for customer meetings. Each connection requires an administrator's authorization. Available records depend on permissions, provider retention and supported formats.
Meeting attendance and transcripts require the correct meeting occurrence and participant. Transcript analysis uses available transcript text; it does not download or watch meeting video. Inspect any displayed missing-record or connection warning.
4. Review a customer purchase
Open Customers, choose the buyer, then open the purchase. You can review agreements, payments, the timeline and feedback. Broader customer history remains available as context, including other verified purchases from the same business. Shared conversations are not automatically treated as proof for every purchase.
Why is this here? explains a relationship. Correct this records your clarification. You can add an original that was collected elsewhere. Normal collection runs in the background; you do not need to file or approve each incoming record.
5. Respond to a dispute
A connected Stripe account supplies supported dispute notices. For a notice received elsewhere, open Disputes > Record a manual dispute, choose the customer, purchase and payment, and enter the processor's case details. An unmatched chargeback remains visible until its payment can be identified.
ScaleSafe prepares a response from the available records. Open the case and select Review response. Check the explanation, included records, customer concerns and any items under Before you submit. If you need newer records, open Earlier responses and updates and select Update from latest records.
After reviewing, select Approve response, then Download response PDF. Inspect the file and follow your processor's submission instructions before its deadline. Preparing, approving or downloading a response does not submit it. A changed response requires a new review; earlier approved responses remain unchanged.
Staff can enable their own case email notices in the app. Alerts open the case through the recipient's CRM access check. These are merchant staff alerts, not customer messages.
If something needs attention
- No purchases yet: open the product and check collection progress or the specific warning. Confirm that the sale contains that exact product and is a real, completed purchase. A scan can only find records the provider makes available.
- A source failed: inspect its error in Record sources or the customer workspace. Address the missing permission or unavailable source, then retry the affected collection.
- A record is missing: check its account, availability and permissions. Preserve an authorized original manually if the connected system cannot supply it.
- A connection expired: follow the displayed reconnect or authorization-restart action from the same CRM account. Your unsaved work is retained when the same user's session can be renewed.
- A submission outcome is uncertain: confirm the processor's status before retrying. A timeout does not prove rejection.
Costs and support
Controlled-beta access is free. Your existing CRM, payment processor, Zoom and other provider fees still apply. Evidence preparation does not guarantee a dispute outcome.
Contact support@scalesafe.app with the business-account name, time, affected record and visible error. Do not email passwords, API keys, full card details or unnecessary customer records.
